What we collect depends on how you interact with us.

Account information

If your organization uses ServicePulse, we process account details needed to run the product: name, email, role, sign-in identifiers, and organization membership.

Contact and demo request information

If you submit a contact form, demo request, or email through servicepulse.tech, we may collect name, company, email, phone, message content, and other fields you provide. These submissions may be stored in our systems so we can review and respond.

Product usage data

We may collect operational and diagnostic information about how authorized users use ServicePulse. Examples include feature usage, performance logs, error reports, and security events. We use this to run, secure, and improve the service.

Customer-provided business data

Your organization may store business records in ServicePulse, including companies, contacts, tickets, time entries, quotes, projects, agreements, billing records, attachments, and related metadata. You control what is entered into the platform.

Cookies and session information

The ServicePulse application uses session cookies and similar technologies for sign-in, workspace access, and security. Marketing pages may use essential cookies or browser storage for preferences such as theme selection.

We do not sell personal information.

We share information only in limited cases:

• With infrastructure providers and subprocessors that help us host, deliver email, or support the service, under appropriate safeguards.
• With your organization’s authorized administrators and users based on workspace permissions.
• When required by law, regulation, legal process, or to protect rights, safety, and security.
• In connection with a merger, acquisition, financing, or sale of assets, with notice where required.

We can provide a subprocessor list or additional detail during onboarding or on request.

We keep information for as long as needed to provide the service, meet the purposes in this policy, comply with legal obligations, resolve disputes, and enforce agreements.

Retention for customer data, backups, and marketing inquiries may vary based on your customer agreement, product settings, and operational needs. Specific schedules may be documented in commercial agreements or available on request.

Cognify Works uses administrative, technical, and organizational measures to protect information. These include access controls, tenant scoping, encryption in transit where our infrastructure supports it, and logging of security-relevant events. See our Security page for a summary.

No method of transmission or storage is completely secure.

Depending on where you live, you may have rights to access, correct, delete, or restrict certain processing of personal information, or to object to certain uses.

Workspace users should contact their organization administrator for account-level requests. For requests directed to Cognify Works, email hello@cognifyworks.ai.
